Event Terms & Conditions

Event Terms and Conditions - Attendees

These Terms and Conditions set out the expectations for attendance at events organised or promoted by the Rural Press Club of Queensland Inc. (RPCQ, the Club, we, us).

The organiser of Club events is the Rural Press Club of Queensland. Correspondence: GPO Box 2821, Brisbane QLD 4001 | 07 3221 9222 | rpcadmin@ruralpressclub.com.au

Registration for, payment for, or attendance at an Event is deemed acceptance of these Terms and Conditions.

1. Event access and eligibility

  1. Attendance is subject to registration (or a valid ticket), any eligibility or membership requirements advertised for that Event, and venue capacity as determined by the Club and the venue.
  2. The Club may refuse entry or remove an attendee who does not comply with these Terms and Conditions, venue rules, or reasonable directions from Club representatives, venue staff or security.
  3. Some Events are members-only, invitation-only, or limited to registered guests. Bringing an unregistered guest without prior approval may result in refusal of entry.
  4. The Club may refuse entry where a person cannot present a valid ticket or registration confirmation and, if requested, valid photo identification (for example an Australian driver licence, passport or proof-of-age card).
  5. The Club and the venue may inspect bags and containers and refuse entry to any person carrying an item that is, in their reasonable opinion, dangerous, prohibited or unsuitable for the Event.
  6. The Club may refuse entry if the venue cannot safely accommodate additional people.

2. Behaviour, conduct and venue compliance

The Club is committed to a professional, safe, inclusive and harassment-free environment for members, guests, speakers, sponsors, staff and venue teams, regardless of gender, gender identity or expression, sexual orientation, disability, physical appearance, race, age, religion or background.

Attendees must:

  • comply with all applicable laws, venue rules and safety directions;
  • treat other attendees, speakers, sponsors, staff and venue personnel with courtesy;
  • follow any briefings given at the start of the Event (including evacuation and media protocols);
  • comply with smoking and vaping rules — smoking and vaping only in designated venue areas. The Club and the venue may remove anyone smoking or vaping outside those areas.

The Club may refuse entry or remove any person for offensive behaviour; conduct causing a public nuisance (including being drunk or disorderly); harassment, bullying or intimidation; disruption of a speaker or the Event; or failure to comply with these Terms and Conditions.

Where internet or Wi-Fi is provided, the Club and the venue may remove any person accessing illegal, explicit, extremist, offensive or obscene content through those services.

Failure to comply may result in removal without refund and exclusion from future Club events.

3. Dress standards

Attendees must meet any dress standard stated on the Event page, ticket or invitation (for example business attire for city lunches and breakfasts, or smart casual for regional functions) and any dress rules required by the venue. The Club may refuse entry to anyone who does not meet those requirements.

4. Photography, filming and recordings

Photography and filming often take place at Club events for news, membership, sponsor and archival use.

By attending, you consent to being photographed or filmed by the Club, its contractors, accredited media and official event partners, and to the Club using those images and recordings in Club communications, the website, social media, newsletters and related promotional material.

The Club retains its rights in material it produces. If you do not wish to be filmed or prominently photographed, please tell an Event organiser or Club representative on arrival so reasonable steps can be taken.

Attendees must not record speakers or proceedings for commercial use, or in a way that disrupts the Event, without prior written approval from the Club.

5. Communications

By registering, you agree to receive transactional communications about the Event, including confirmations, venue updates, run-sheets and cancellation notices.

Marketing and membership communications are handled in line with the Club’s Privacy Policy. Unsubscribing from marketing emails does not stop essential Event-related messages.

6. Tickets, cancellations and refunds

Unless the Event listing says otherwise:

  • registrations are not transferable without the Club’s approval;
  • refunds, if offered, follow the cancellation window published for that Event;
  • no-shows are not refunded;
  • if the Club cancels an Event, it will offer a refund of the ticket price paid, or a credit to another Club event, at the Club’s election. The Club is not responsible for travel, accommodation or other costs you incur.

7. No liability

Without limiting any obligation the Club cannot exclude at law, persons enter the venue and attend the Event at their own risk. The Club does not warrant the quality or suitability of any Event beyond what Australian consumer law requires.

To the maximum extent permitted by law, the Club is not liable for:

  • problems or technical malfunction of any communication network, or misplaced, lost or ineligible tickets;
  • any loss or damage suffered by any person (including direct, indirect, economic or consequential loss); or
  • personal injury, death, or loss of or damage to property arising from entry to the venue or attendance at the Event,

howsoever that liability arises, including in negligence, contract, statute or equity. This clause does not exclude liability that cannot be excluded under Australian consumer protection laws.

8. Force majeure

If an Event cannot run for a cause beyond the Club’s reasonable control — including venue unavailability, power failure, extreme weather, natural disaster, civil unrest, epidemic or pandemic, industrial action, or a speaker’s sudden unavailability — the Club may cancel, postpone, modify or relocate the Event.

The Club will take reasonable steps to notify registered attendees. Any refund or credit will be as set out in clause 6.

9. Privacy

Personal information collected at registration is handled in accordance with applicable privacy law and the Club’s Privacy Policy. It is used to manage the Event, communicate with attendees, report to the committee and, where relevant, to sponsors or venues who reasonably need attendee lists for security or seating.

10. Changes

Information in these Terms and Conditions is correct at the time of publication. The Club may amend them at any time. The version in force is the version published on the Club website when you register, or as otherwise notified before the event.
